At Grad Data Coach, we want students and researchers to feel confident when booking data analysis help. This Refund and Cancellation Policy explains when you may cancel, reschedule, or request a refund for coaching sessions, packages, and custom services.
Because our services involve reserving time and, in some cases, reviewing research materials before a session, refund eligibility depends on whether the service has already started.
1. Coaching Session Cancellations
If you purchase an individual coaching session and later need to cancel it, please contact us as soon as possible.
Cancellations made at least 24 hours before the session
If you cancel at least 24 hours before the scheduled start time, you may choose to:
- reschedule the session at no additional charge; or
- request a refund for the amount paid.
Cancellations made less than 24 hours before the session
If you cancel less than 24 hours before the scheduled session, a refund is not guaranteed because that time has already been reserved for you.
Where circumstances reasonably allow, we may offer a rescheduled session instead.
2. Rescheduling a Coaching Session
We understand that research schedules can change.
You may request to reschedule a session by contacting us at least 24 hours before the scheduled session.
We will make reasonable efforts to find another suitable time.
Repeated rescheduling or last-minute changes may be treated as a cancellation.
3. Missed Sessions
If you do not attend a scheduled session and do not provide advance notice, the session will normally be considered used and will not be eligible for a refund.
If an emergency or exceptional circumstance prevented you from attending, please contact us. We may consider rescheduling on a case-by-case basis.
4. Coaching Packages
Grad Data Coach may offer packages containing multiple coaching sessions.
If you purchase a package and decide that you no longer need the remaining sessions, you may contact us to request cancellation of the unused portion.
Any refund will be based on the value of services that have not yet been delivered.
Where a package was purchased at a discounted rate, completed sessions may be recalculated at the applicable individual-session rate before determining the remaining refundable balance.
For example, if a package provides a discount because several sessions are purchased together, the package discount may no longer apply when only part of the package is used.
5. Refunds Before a Service Begins
If you pay for a service but Grad Data Coach has not yet:
- conducted a coaching session;
- reviewed substantial research materials;
- begun agreed custom work; or
- otherwise started providing the purchased service,
you may contact us to request cancellation and a refund.
We recommend making the request as soon as possible.
6. Services That Have Already Started
Once substantial work has started, a full refund may no longer be available.
Examples include situations where we have already:
- reviewed your dataset;
- reviewed dissertation or thesis chapters;
- examined statistical output;
- reviewed supervisor comments;
- prepared specifically for your coaching session;
- performed substantial data preparation;
- prepared statistical analysis specifically for your project; or
- completed part of an agreed custom service.
Where only part of the service has been completed, we may consider a partial refund based on the work already performed and the remaining undelivered service.
7. Completed Coaching Sessions
A completed coaching session is generally non-refundable.
Coaching involves reserving professional time and providing live, personalized guidance based on your research.
If you experience a genuine problem with a completed session, please contact us. We will review the concern and, where appropriate, may offer a reasonable remedy such as clarification or follow-up support.
8. Custom Quotes and Project-Based Services
Some research needs may require a custom quote instead of a standard coaching package.
The scope, price, and expected work will normally be agreed upon before payment.
You may request cancellation before work begins.
Once work on a custom service has started, any refund will depend on the amount of work already completed.
If substantial or all agreed work has already been completed, the payment may be non-refundable.
Additional work that was not included in the original quote may require a separate payment or updated quote.
9. Supervisor Requests for Changes
A request from your supervisor, committee, reviewer, or examiner for additional changes does not automatically make the original service eligible for a refund.
Research requirements may change during a dissertation or thesis.
We will help clarify whether requested changes:
- are part of the original agreed scope;
- can reasonably be handled during an existing coaching session or package; or
- require additional coaching or a new quote.
10. Academic Outcomes Are Not Grounds for a Refund
Grad Data Coach provides educational guidance and data analysis coaching. We cannot control decisions made by your supervisor, university, examination committee, journal, or other academic authority.
Refunds will therefore not normally be issued solely because:
- a supervisor requests further revisions;
- a statistical method is questioned by a supervisor;
- a dissertation or thesis requires additional changes;
- you receive a lower grade than expected;
- a proposal, dissertation, or thesis is not approved;
- a manuscript is rejected;
- you do not pass a defense or viva;
- your research results are not statistically significant; or
- the analysis does not produce the outcome you expected.
Our goal is to help you understand and conduct appropriate analysis, not to guarantee a particular academic result.
11. Incorrect or Incomplete Information Supplied by the Client
The quality and suitability of statistical guidance may depend on the information you provide.
You are responsible for providing accurate information about your:
- dataset;
- variables;
- research questions;
- research design;
- sampling method;
- supervisor requirements; and
- other relevant aspects of your research.
A refund may not be available where additional work becomes necessary because important information was incorrect, incomplete, or withheld when the service was arranged.
We will, however, try to help determine the most practical way forward.
12. Technical Problems During a Session
If a coaching session cannot be completed because of a significant technical problem on our side, we will normally offer either:
- a replacement session;
- additional time to complete the interrupted session; or
- an appropriate refund if the service cannot reasonably be provided.
If the problem occurs on the client’s side, such as an internet connection failure, we will make reasonable efforts to reschedule or continue the session where practical.
13. Cancellation by Grad Data Coach
In rare circumstances, we may need to cancel or reschedule a session.
If we cancel a paid session and cannot provide a suitable alternative, you will be entitled to a refund for the affected service.
We may also refuse or discontinue a service where a request involves:
- academic misconduct;
- fabricated or manipulated research data;
- unlawful activity;
- abusive behavior;
- fraudulent activity;
- work outside our reasonable expertise; or
- another serious violation of our Terms and Conditions.
Any refund in such circumstances will depend on whether services have already been provided and the reason for termination.
14. Duplicate or Incorrect Payments
If you believe you were charged twice for the same purchase or that an incorrect payment was processed, please contact us promptly.
Once verified, duplicate or erroneous charges will be corrected or refunded as appropriate.
15. Payment Processor Fees
Payments may be processed through third-party providers such as PayPal.
Where legally permitted, any non-refundable transaction charges retained by a payment provider may affect the final refund amount.
We will not deduct charges that we are legally required to return.
16. How Refunds Are Issued
Approved refunds will normally be returned through the original payment method where possible.
Processing time may depend on:
- the payment provider;
- your bank or card issuer;
- your country; and
- the original payment method.
After a refund has been issued by Grad Data Coach, additional processing time by the payment provider or financial institution may be outside our control.

- your inquiry or payment reference, if available;
- the service or package purchased; and
- a brief explanation of your request.
Providing this information helps us locate your booking and respond more quickly.
18. Exceptional Circumstances
We recognize that unexpected situations can arise.
Where circumstances fall outside the rules described above, we may consider reasonable refund or rescheduling requests individually.
Any discretionary accommodation does not create an obligation to provide the same outcome in future cases.
19. Consumer Rights
Nothing in this Refund Policy is intended to limit any refund, cancellation, or consumer rights that cannot legally be excluded under applicable law.
If applicable consumer protection law gives you rights that are more favorable than this policy, those rights will continue to apply.
20. Changes to This Policy
We may update this Refund and Cancellation Policy as our services, pricing, booking procedures, or legal requirements change.
The latest version will be published on this page with an updated date.
